We are now seeking an experienced Personal Assistant on a temporary basis to provide efficient and effective administrative support to the CEO of Moose.

Skills and experience
Exceptional communication and interpersonal skills, with an ability to deal professionally with key stakeholders at all levels;
Working knowledge of Microsoft Office suite, including Outlook;
Methodical with high attention to detail;
A customer centric mind-set;
A proactive approach to task management and an ability to multi-task and prioritise;
Strong attention to detail;
Reliable and trust worthy, and familiar with maintaining the privacy and confidentiality of information at all times;
Flexible and adaptable to change;
Strong experience working in a fast paced and entrepreneurial environment and
Well presented at all times
Responsibilities
Diary and meeting management (including meeting attendance and follow-up as required, and ensuring Directors are well prepared);
Inbox management and drafting and responding to emails as appropriate;
Handling all other correspondence as appropriate;
Screening phone calls, enquiries and requests and handling them as appropriate,
Meeting and greeting visitors as required;
Acting as the point of contact between the executives, direct reports and internal or external stakeholders;
Organising meetings and booking meeting rooms;
Arranging business lunches, events and functions;
Coordinating Business Travel including making travel arrangements and detailed travel itineraries in conjunction with Office Manager;
Setting agendas and taking minutes for meetings;
Drafting/preparing reports and presentations;
Carrying out background research and reporting on findings;
Incoming and outgoing mail management; sending couriers, post etc;.
Maintaining the current filing and database system, and looking for ways to improve current systems;
Working closely with the other CEO's Executive Assistant
Processing monthly business related expenses in conjunction with Finance Department;
Working on personal related matters and coordinating personal related expenses with the Personal Accountant as required;
Relieving reception as required and
Other various duties as required.

Qualifications
5+ years in an equivalent senior Personal Assistant working for a CEO or Managing Director;
Tertiary qualification preferred but not essential.
