Role Purpose
Reporting to the Business Manager, and working closely with the Chief Executive Officer and the Program Director, the Operations Coordinator is primarily responsible for providing assistance in all facets of the festival production.
The position involves general administration duties including answering phones, managing incoming and outgoing mail, ordering office supplies, database maintenance and volunteer management as well as assistance with the production of the festival, ticketing, membership and numerous lead-in events.
To be successful in this role you must be enthusiastic and have the ability to prioritise a busy workload as well as show initiative and reliability. This role requires a flexibility and availability to work according to the demands of the Festival across the contract period.
In addition to the Melbourne Queer Film Festival held in mid-March, MQFF holds a number of other events including special screenings, Program Launch and regional events, that would be part of the Operations Co-ordinator’s role.
MQFF also has a presence at other events such as Midsumma Carnival and Pride March.
A successful candidate will be able to work outside of regular business hours, including on weekends, especially between January and March. The role will commence at three days a week and expand to five days in the lead up to and during the festival.
Key Accountabilities
Volunteers: Oversee the Festival Volunteers Program including call out, recruitment, training and rostering of all MQFF Volunteers and demonstrate a dedication to improving the MQFF Volunteer program and its success.
Front of House: Supervise and develop the Festival’s Front of House procedures in collaboration with the Business Manager and ensure they are adhered to during the Festival delivery, including ensuring that all volunteers deliver a high level of customer service.
Membership: Day to day maintenance of the Festival’s Membership base including processing new and renewed memberships as well as providing a high level of customer service to all MQFF Members.
Ticketing: Assist the Business Manager in the daily ticketing operations of the Festival including reporting, ticketing requirements and selling tickets over the phone and in person as required.
Venues: In close consultation with the Business Manager, liaise with the Festival venues to ensure that all venues are operational before the Festival delivery and ensure the smooth and timely running of all Festival venues and screenings.
Events: Support the Business Manager in the planning and delivery of key events such as Program Launch, Opening Night, Centrepiece Gala and Closing Night as well as some events in the lead up to the Festival.
Office & Administration: General office duties including answering telephones, email enquiries, postal, stationary and stock and maintaining the organisation’s databases, contact lists and administrative systems.
Work Environment: Contribute to staff morale and maintain professional working relationships with all MQFF Staff, Board and Volunteers as well as demonstrating a willingness to support others in their roles.
