Job Summary: Coronial Admissions and Enquiries (CAE) provides a 24-hour service that is the first point of contact for coronial and forensic pathology processes, and coordinates the activities related to the initial phase of the Coroner's investigation into deaths.

Job Details: The Medico-Legal Executive Assistant provides office administrative and stenographic support for the Duty Coroner and Pathologists, which forms part of the Coroners Court of Victoria (CCOV) investigation into a reported death. In the role, you will:

provide executive assistance to the Assistant Manager, the Coroner and CA&E team
perform case related data entry, preparing documents, collating information received and creating case files for the Coroner and the team, in support of the investigation process
provide accurate audio transcription of Pathologist reports, including use of complex medical terminology, formatting and proof reading reports and online case administration quality checks
prepare and distributing case lists for daily Duty meetings and provide secretarial support, including transcription of decisions and outcomes into case management systems for the CCOV and VIFM
manage patient medical records and VIFM records and files
support all functions of the CAE, including taking reports of certain deaths, managing telephone enquiries and correspondence as well as undertaking the follow up and collection of additional information, and other administrative duties.
Candidates should be aware that due to the nature of the work that VIFM undertakes, staff will be exposed to equipment, content and concepts of a potentially confronting nature, such as forensic material, descriptions and images, medical reports, and mortuary/laboratory environments.
Please note you must be available to participate in shiftwork on a seven day a week roster, which may include day and night shifts on weekdays and weekends.

To be successful in this role, you will require:
proven experience in medical, health and or/legal administration in a team environment, and experience working with medical and/or legal records and sensitive personal health information
demonstrated knowledge and understanding of medical and legal terminology, medical and/or legal concepts, and sensitive personal health information
excellent interpersonal and liaison skills, and ability to work in close consultation with next of kin, families and other non-medical people and other stakeholders, including law enforcement, legal and medical
exceptional organisational and time management skills
high level of computer literacy, including use of database systems and electronic transcription systems
ability to work calmly and consistently under pressure, to deal with competing priorities and deadlines in a challenging and sensitive work environment
strong customer service skills – this is critical as the position works closely with and supports coroners and pathologists in the medico-legal death investigation process.
